# How to Choose a HubSpot Expert in India: A 10-Point Checklist

Looking for a HubSpot expert in India? More businesses, in India and abroad, are hiring Indian HubSpot consultants for implementation, admin support, integrations, and architecture. The talent is real. So is the variation in quality, and a profile or a proposal does not show it.

I'm Shubham Nigam, a HubSpot architect based in Bengaluru. I've worked hands-on in 60+ HubSpot portals over about 10 years, including more than five years at HubSpot partners (a Platinum Solutions Partner and a Diamond Partner). This is the checklist I would use if I were hiring. The questions work for anyone you are evaluating.

## Before you start: know what you actually need

"HubSpot expert" can mean several jobs. Decide which one you need before you compare people:

- **Implementation or onboarding.** Setting up a new portal or hub.
- **Ongoing admin.** Day-to-day maintenance and requests.
- **Integrations.** Connecting HubSpot to an ERP, a billing tool, or a custom system.
- **Architecture.** The data model, governance, and how systems fit together.
- **Marketing execution.** Campaigns, emails, landing pages, content.

## The 10-point checklist

### 1. Hands-on portal experience, not just theory

Ask how many HubSpot portals they have personally worked in, and in what role. Breadth matters, because the same patterns show up across portals. I wrote those patterns up in [lessons from working on 60+ HubSpot portals](https://indianhubspotexpert.com/blog/lessons-from-60-hubspot-portals). Ask for examples of the problems they solved, even if client names stay confidential.

### 2. Depth in the hubs you use

Marketing Hub, Sales Hub, Service Hub, CMS Hub, and Operations Hub each have their own quirks. Ask which hubs they have worked in most, and whether they have worked at your subscription tier.

### 3. Understanding of the data model

This is the biggest difference I see. A strong HubSpot expert can explain objects, associations, custom objects, and property design clearly. Ask: "How would you decide between a custom property and a custom object?" The answer tells you a lot.

### 4. Integration and API skills

If HubSpot has to talk to other systems, ask about their integration experience. Have they used HubSpot's APIs directly? Can they write or review code, for example in Python? How do they handle errors, retries, and duplicates? At Edgio I built a HubSpot to Oracle Fusion integration with HubSpot's APIs and Python, and those questions were the ones that mattered.

### 5. Experience beyond HubSpot

Many projects involve moving from, or living alongside, another CRM such as Microsoft Dynamics 365. Experience with another system helps someone map data accurately and see problems early. I delivered CRM implementations on both HubSpot and Microsoft Dynamics 365.

### 6. A clear process

Ask them to walk you through how they would start. A good answer usually includes discovery, an audit of the current setup, a written plan, phased implementation, testing, and handover. If someone jumps straight to building, be cautious.

### 7. Documentation and handover

Will you get documentation of what was built? Will your team be trained? The best consultants make themselves less necessary over time, not more.

### 8. Community reputation and public proof

Look past the sales pitch: helpful answers in the HubSpot Community, articles, LinkedIn posts, talks, or Community Champion recognition. Public helpfulness is hard to fake. HubSpot Academy certifications are a useful signal of training, but pair them with questions about real portal work.

### 9. Communication and time-zone fit

Working with a HubSpot consultant in India often suits global teams: overlapping hours with Europe and Asia, and asynchronous progress for the Americas. Agree response times, meeting overlap, and how updates will be shared before the work starts.

### 10. Honest scoping and pricing

A trustworthy expert will say when something is not worth doing, when a native feature is enough, or when you need a different specialist. Be wary of a proposal that promises everything for a low fixed price with no discovery step.

## Red flags

- They cannot explain why they would structure something a certain way.
- They want lots of new properties or workflows without auditing what you already have.
- They have no answer for how an integration handles failure.
- They avoid talking about documentation.
- Every problem has the same solution: more tools, more apps, more hours.

## Freelancer, agency, or independent architect?

There is no single right answer.

- Agencies are a good fit when you need a team covering many disciplines at once.
- Freelancers are a good fit for well-defined, smaller tasks.
- Independent architects are a good fit when you need senior judgement on structure and integrations without a large agency overhead.

I was HubSpot Administrator at Health Prime from August 2021 to September 2023. I was HubSpot Senior Solutions Architect at Edgio from September 2023 to January 2025. Since January 2025 I have been HubSpot Architect at eXp Realty.

- What is the most complex HubSpot problem you have solved?
- How would you audit our current portal?
- How do you handle data quality and duplicates?
- What would you not recommend we do?
- What will we have in hand when the engagement ends?

### Why hire a HubSpot expert in India?

India has a deep pool of experienced HubSpot professionals, many with years in partner agencies and in-house teams. Teams often get strong technical skills and useful time-zone coverage. Judge the person, not the country.

### What is the difference between a HubSpot consultant and a HubSpot architect?

A consultant typically advises on using HubSpot better, often within one project or one hub. An architect owns the overall design: data model, integrations, and governance across systems. ### Should I only hire a certified HubSpot partner?

Not necessarily. Partner agencies can be a strong fit, but many experienced independent experts work outside the partner programme. Judge experience, process, and fit.

Ask for anonymised examples, check their LinkedIn history, look at their HubSpot Community activity, and run a small paid discovery or audit before a large engagement.
